Information we handle

Depending on how you use the service, information may include:

• Account and profile information, such as your name, email address, roles, skills, work history, and profile visibility choices.
• Project and application information you or a recruiting organization provide, including project descriptions, uploaded documents, application materials, challenge submissions, and communications.
• Hiring-workflow information, such as job requirements, applicant relationships, evidence summaries, and actions taken by authorized members of a hiring team.
• Service and device information, such as pages and features used, timestamps, browser and device details, and diagnostic or security logs.
• Information from other people or organizations using the service, including when a recruiter or employer submits applicant or role information.

How we use information

We use information as needed to:

• Provide accounts, profiles, project portfolios, search, recruiting, and hiring features.
• Show information to the audiences allowed by your visibility settings or the relevant recruiting workflow.
• Process applications and help authorized hiring teams review relevant project evidence.
• Protect, support, maintain, and improve the reliability and security of the service.
• Communicate about accounts, service operations, and support requests.
• Meet legal obligations and enforce our terms.

AI-assisted features

Some features use AI to help draft or summarize information, answer questions, and organize evidence for a hiring workflow. For example, a technical review feature can compare role requirements with excerpts from project documents and generate a summary, requirement-level analysis, citations, or suggested questions. AI output may be stored so the feature can display its results and maintain service records.

To provide these features, relevant context may be sent to our AI service providers. Depending on the feature, this can include role titles and requirements, project and file names, page references, and excerpts from documents. Some assessment workflows omit candidate names and contact details from the model request; this is not a guarantee that every AI feature excludes identifying information.

We use AI providers, including services delivered through Amazon Bedrock, to process information for the requested feature. We do not use information submitted to the service to train our own general-purpose AI models, and we require our AI providers not to use submitted information to train their general-purpose models. Providers process information to return the requested service, subject to their applicable service terms and our arrangements with them. We may change providers as the service evolves.

AI-generated content can be incomplete, inaccurate, or biased. It is intended to assist people, not make hiring decisions. Hiring organizations remain responsible for reviewing information and making their own employment decisions.

How information is shared

• With other users: Public profile information is visible as indicated by your settings. Information submitted for an application or recruiting workflow is made available to the relevant hiring organization and authorized team members.
• With service providers: We use providers for hosting, authentication, communications, AI processing, and other functions needed to operate the service. They may process information on our behalf for those purposes.
• For legal and safety reasons: We may disclose information when reasonably necessary to comply with law, protect people or the service, or enforce our terms.
• Business changes: Information may be transferred as part of a merger, financing, reorganization, or transfer of service assets, subject to applicable protections.

We do not sell personal information or share it for cross-context behavioral advertising.

Retention and deletion

We keep account, profile, project, application, and AI-generated information while needed to provide the service, honor your settings and relevant recruiting workflows, resolve disputes, and meet legal or security needs. Retention periods differ by information type; we do not apply one fixed three-year period to all information.

Audit and personal-information access records are retained for up to three years (1,095 days) from their creation and then automatically purged. These records can include actor, role or company, action, timestamps, model and prompt identifiers, and document names or fingerprints; they are designed not to contain uploaded document or page contents. Backups may persist for a limited period after deletion.

You may request access, correction, or deletion by contacting us. Deletion may not remove information that another user or hiring organization is authorized to retain, information kept for legal or security reasons, or records still within the audit-retention period.

Your choices and rights

You can manage profile visibility and update information through the service. Depending on where you live and the applicable law, you may also have rights to request access, correction, deletion, a copy of information, or to object to or restrict certain processing. Contact us to make a request. If your information was provided by a recruiter or employer, you may also contact that organization; it may be responsible for the recruiting purpose and related notices.

Security and children

We use reasonable administrative, technical, and organizational measures to protect information. No method of transmission or storage is completely secure. The service is for people aged 18 or older; we do not knowingly collect personal information from anyone under 18.

Changes and contact

We may update this policy as our service or practices change. We will update the effective date and provide additional notice when required.
